Why AI on the phone no longer sounds robotic
You probably still remember the sound: a tinny voice that often responds too late, cuts you off mid-sentence, and after three attempts still says, “I didn’t catch that.” For years, that was the image people had of AI on the phone and rightly so.
But that image is no longer accurate. Not because the voices have become more pleasant, but for a much more mundane reason: speed. The difference between a menu and a conversation is a matter of a few hundred milliseconds.
The threshold that determines everything: 300 milliseconds
In a normal conversation between two people, there’s about two-tenths of a second between your last word and the other person’s first word. If that silence lasts any longer, you’ll notice it. You’ll start repeating yourself, talk right over it, or think the connection has been lost.
That was exactly where the problem lay. An AI had to listen, understand, formulate a response, and speak that response. Each step took time, and altogether, it took too long. According to research firm CB Insights, a response time under 300 milliseconds is now the standard, and the fastest systems even clock in under 100 milliseconds.
That number isn’t a marketing claim, it’s the reason a conversation feels like a conversation. Below that threshold, you’re no longer waiting for the computer. You’re just talking.
Speed alone isn't enough
But an assistant that responds incorrectly, even quickly, is still useless. So it’s not just about speed; it’s also about quality. What has been added in the meantime is that the voice works in conjunction with a model that actually understands the question and takes action based on it.
What This Means for Your Phone Service
For a practice, salon, or installation company, this changes the question. It used to be: Doesn’t it sound too strange to bother customers with this? Now it’s: What kinds of calls do I want to handle with this?
- The caller who asks what time you’re open while you’re busy with a customer.
- The appointment that gets rescheduled at a quarter past eight in the evening.
- The third caller during rush hour, who would otherwise hear the hold music and hang up.
- The inquiry about a delivery time that requires you to log into the system yourself.
These aren’t complicated calls. They’re the calls that ruin your day, and yet your customers still expect you to handle them.

DISCOVER MORECan an AI phone assistant do everything?
Unfortunately, not yet. There are situations where it’s still better to speak with a real person on the phone. This has nothing to do with knowledge or speed, but mainly with the situations listed below.
- Calls that involve emotion. A complaint, a complicated cancellation, bad news, that’s when a real person should be on the line.
- Negotiating. You determine prices and discounts yourself, not your assistant. There may be exceptions to this rule.
In HeyFred, you can easily identify these situations and either send a notification or forward the message to a real person.
